  • Practice Management Consultant for medical practices ranging from workers compensation, oncology, internal medicine to cosmetic medical practices and medical spas.

Plastic Surgery Suite, New York, NY March 2012 to September 2014 - Practice Manager/Patient coordinator

  • Responsible for managing the day to day operations of a multi-disciplinary, multi-physician surgical suite and ensuring compliance of practice policies and procedures as well as compliance with AAAASF and state regulatory agencies. 

  • Responsible for maintaining credentialing of all physician licenses, certifications, cme and hospital privileges in good standing. 

  • Act as the practice chief financial officer preparing expense reports, profit/loss for multiple revenue sources, budgeting, payroll and 401(k) management. Responsible for accounts payable, accounts receivable, account reconciliations, collections and contract negotiations with vendors and service providers. 

  • Provide HR support by setting staff schedules, monitoring employee vacation days and conducting performance evaluations. Conduct monthly staff meetings to ensure adherence to practice goals and objectives. 

  • Responsible for assisting the physician public relations team with maintaining media coverage and marketing efforts. Maintain and establish relationships with referring physicians. Assist physicians in identifying ways to increase practice revenue and improve the overall operation of the practice. 

  • Act as liaison between patients and the practice and between the practice and independently contracted physicians; quoting fees, scheduling procedures, obtaining authorizations and providing adequate insurance coding for reimbursement. 

  • Manage the physical plant; scheduling and monitoring preventative maintenance and repair of medical equipment. Order all office and medical supplies, ensuring correct inventory levels.

  • Provided direct assistance to Dr. Hidalgo, internationally recognized New York plastic surgeon, and managed day-to-day office and operating room operations. Scheduled meetings and national conferences, managed and maintained busy calendar, and established operating room schedule, coordinating staff and patient appointments. 

  • Assisted in the implementation of quality assurance programs and monitoring activities to meet standards and regulations of accrediting agencies such as the American Association for Accreditation of Ambulatory Surgical Facilities (AAAASF). 

  • Negotiated vendor and service contracts, reducing practice overhead by an average of 30% annually since 2009.

  • Implemented and designed new procedure protocol saving the practice an average of $240,000 annually since its inception in 2006.

  • Maintained liaison among surgeon, anesthesiologist, and staff to manage operational activities for the practice, to accomplish directives and to facilitate the resolution of problems. 

  • Assisted in determining fiscal requirements and preparing budgetary recommendations; monitored, verified and reconciled expenditure of budgeted funds while adhering to budget parameters.

  • Prepared operational and financial reports and analyses. Negotiated contracts, streamlined process and ensured correct inventory levels. 

  • Recruited, hired, trained and conducted performance appraisals for all office staff. Ensured compliance with federal, state and local regulations regarding equal pay and equal employment. 

  • Managed practice insurance, employee 401(k) accounts and health insurance.

  • Assisted in the planning of short and long-range goals for the practice. Prepared and evaluated proposals to implement new programs and expand existing ones.

  • Oversaw administrative, operational, and financial activities of the practice as well as the staffing and administration of policies and procedures.

  • Managed all aspects of business and personal life which included his primary and secondary residences. Oversaw office and household construction and interior design, managed domestic staff for both residences, managed personal art collection and assisted with philanthropic efforts and event planning with over 1000 attendees.

Paola graduated from Fordham university in 2001 with a Bachelors in Psychology and premedical studies. During her studies her journey for helping others began.

Paola became a certified professional practice manager quantifying Paola as an expertise in her field.

Paola is certified by the society of Human Resources management. This certification allows for strategic Human Resources management and ensuring employer compliance with changing employment laws. 

2021

Licensed Esthetician

Paola decided to get her estheticians license after many years on the administration side of medicine so she could better educate patients on procedures and perform non invasive procedures.
